How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You or someone on your behalf has enquiries into currently available or future properties to let.
  • You have started a tenancy with us
  • You are party to a person with who you are taking on a joint tenancy.
  • You are provided as a “guarantor” for an individual who is applying to take on a tenancy with us.
  • You have contacted us directly as a customer with another reason related to our business.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From our advertising partners at rightmove.co.uk, unihomes.co.uk and accommodation for students.co.uk in relation to any enquiries that you submit regarding our services.
  • Existing customers in joint tenancies that are looking to replace a previous joint tenant

We use the information that you have given us in order to:

Help you with enquiries that you have regarding our properties and the services we provide.

Offer you assistance in searching through our portfolio for suitable properties depending upon your requirements.

To enter into legal tenancy agreements or other contracts in line with the services we offer.

We may share this information with other companies and subsidiaries directly associated or part of Thornsett Properties Ltd.

We will not sell your data to any third party for marketing purposes without your express consent.

You are able to remove your consent at any time. You can do this by contacting us at the details given above.

Such as keeping details for our tenants, to pass on to utility service providers

As a potential or existing tenant, we need to keep you informed during your enquiries about our services and during the duration of any tenancy agreements

As a customer enquiring into our services we have a legitimate interest in holding your data as a way of contacting you.

How we store your personal information

Your information is securely stored in one of the following.

a) Our website database

We keep names, contact details, email addresses and enquiry messages for up to 12 months since the last point of contact with you. We will then dispose of your information by deleting it from our database, and purging the data within 30 days of deletion.

b) Our email system

We keep names, contact details, email addresses and enquiry messages for up to 12 months since the last point of contact with you We will then dispose of your information by deleting it from our database, and purging the data within 30 days of deletion. This is with exception of if we need to keep it in regards to any legal requirements regarding any tenancy agreed.

c) Our customer relations management system

We keep tenancy details for a period of 7 years from the time of your tenancy ending, with exception of if we need to keep it longer in regards to any legal requirements that may arise. We will then dispose of your information by deleting it from our CRM software and purging the data within a 30-day time frame.

You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
